Solution

Buying House Solutions

An end-to-end sourcing office platform: buyer CRM, costing, sampling, TNA critical path, inspection, shipment documents and commission — every screen order-centric.

What you get

The order number is the spine

A buying house does not own production. Its assets are information, follow-up discipline and a vendor network, which makes its software a coordination and tracking system rather than a shop-floor one. Juviq Buying House Solutions is built on that premise: merchandisers live in lists and status boards, dates and delays are surfaced everywhere, and every entity from a lab dip to a bill of lading carries its own file rail. Commission agent, direct trading and liaison office models are all supported on the same instance.

  • Buyer CRM with requirement library and version-controlled manuals
  • Vendor profiles, capability, capacity and compliance validity
  • Costing sheets and quotations with full revision history
  • Sample development and approval tracking from proto to TOP
  • TNA critical path with automatic delay escalation
  • Inspection, shipment documentation and commission reconciliation

Modules

12 modules, one system

Licensed individually so you start with what matters and add the rest as you grow — but they share one database, so nothing needs to be reconciled between them.

Buyer CRM

Buyer groups, brands, divisions, contact directory, commercial terms and a requirement library where packing, quality and RSL manuals are version-controlled with effective dates.

Vendor Network

Factory, mill, trims, laundry, lab and forwarder profiles with capability, line capacity, audit results and certificate validity alerts.

Enquiry & RFQ

Enquiry pipeline from buyer brief to costing request, with vendor quote comparison and conversion tracking.

Costing & Quotation

Fabric, trims, CM, value addition, freight and commission built into a costing sheet, versioned so every price offered is traceable.

Sample Development

Proto, fit, salesman, size set, PP and TOP samples tracked by due date, courier reference, comments and approval status.

Order Management

Confirmed orders broken by style, colour, size and destination, with amendment history preserved rather than overwritten.

Material Booking

Fabric and trims booking against nominated and non-nominated suppliers, with in-house dates driving the critical path.

TNA / Critical Path

Buyer-wise TNA templates auto-applied on order confirmation, with ageing colours, at-risk flags and escalation to the responsible owner.

Quality & Inspection

Inline, mid and final AQL inspections, defect capture with photos, and pass/fail decisions tied back to the vendor scorecard.

Shipment & Export Docs

Booking, CI, PL, BL/AWB, COO, GSP and the full document set, with shipment-wise status right through to buyer receipt.

Commission & Accounts

Commission by flat, slab or per-piece structure, invoice raising, realisation tracking and buyer-wise profitability.

Dashboards

Order book, delivery risk, sample hit rate, vendor on-time performance and merchandiser workload, all order-centric.

The flow

How work moves through the system

Each stage inherits from the last. Nothing is re-typed, and every document keeps a reference to the one it came from — which is what makes the audit trail useful instead of decorative.

Enquiry

A buyer brief enters the pipeline, gets assigned to a merchandiser, and goes out to shortlisted vendors as an RFQ.

Costing & quote

Fabric, trims, CM, value addition and commission are built into a versioned costing sheet, and the offer goes back to the buyer.

Sampling

Proto through TOP samples are tracked by due date and approval status, with comments and courier references against each.

Order & TNA

On confirmation the buyer's TNA template is applied automatically, and every milestone gets an owner and a date.

Follow-up & inspection

Material bookings, production status and AQL inspections update the same critical path the whole office is watching.

Ship & settle

Export documents are issued from the order, shipment status is tracked to buyer receipt, and commission is invoiced and reconciled.

What makes it different

The parts a generic ERP gets wrong

Delay is the primary signal

Ageing, overdue and at-risk indicators are not a report you open — they are colour on every list, because a slipped date is the one thing that costs a buying house an order.

Buyer rules that respect history

Packing manuals, AQL standards and tolerance charts are versioned with effective dates, so an order placed last season keeps the rules it was placed under.

Built for a file rail

Tech packs, artwork, lab dip photos and inspection PDFs attach to the entity they belong to, so nothing lives only in somebody's mailbox.

A walkthrough is a working session, not a slide deck. Bring one live order or one month of transactions and we will show you how the system handles it.
